Corporate email with Gmail

Corporate email with Gmail

Advantages of managing an email account in Gmail

The reasons that might lead you to set up your corporate email account in Gmail are very diverse, but we can summarize them in two:

    1. Save space on your hostingYour hosting space is shared between email and your website, which is why hosting plans often fall short. One solution is to forward your email to Gmail so it's not stored on our server.

Remember that you need to specify in your Gmail settings that you don't want a copy saved on the server.

    2. Ease of management offered by the Gmail interfaceWe are all used to using Gmail, and for that reason alone it is worth considering using it as an email manager.

But it also allows us to centralize email by being able to configure up to 5 accounts from one or more domains.

Being linked to Gmail, we can check and send from any device with an internet connection or from any device where we have the Gmail app installed.

And let's not forget that Gmail gives us 17 GB of storage space for emails, undoubtedly one of its main advantages.

To link your corporate email with gmail We need to perform two actions; firstly, we will configure the account to to be able to receive emails and on the other hand we will configure it to to be able to send emails with your domain.

Normally in any email client these steps are performed simultaneously, but Gmail divides it into two completely separate processes.

Receive emails with your corporate domain in Gmail

The first step is to access the administration section of our Gmail.

We do this from the gear icon in the upper right corner. Clicking it brings up various configuration options, but we must click on... “See all settings”.

Once on the settings page, look for the “Accounts and Import” tab.

We can see the two options that we will have to configure:

Check email from other accountsThis is the option we will configure first in order to receive emails from our corporate account.

Send as. Where we will add our corporate email again so we can send emails from our Gmail account.

In the section “Check the email of other accounts” we click on “Add email account”.

The first window of the setup wizard appears. In it, we must enter the address of our corporate email to be linked.

In the window that appears, it will normally only allow us to activate the option “Import emails from my other account (POP3)” and therefore we click on Next again.

Once you've passed the second window, the configuration window appears, where you'll enter the information provided by your hosting provider. If your hosting is in SelfishYou can request this information from us at any time.

Configurable data:

UsernameThe username is always the full email address.

Password.

POP server and port.

– Leave a copy of the retrieved messages on the server: Check this box. If you don't, the messages will be deleted from your other account and you'll only be able to access them in Gmail.

– To retrieve email messages, always use an SSL connection.

– Label incoming messages: Check this box if you want to quickly distinguish messages from this account in your inbox.

– Archive incoming messages: Don't check it. You should only check it if you don't want to see new messages from the other account in your inbox.

And if all the data is correct, the last window will appear indicating that the account has been added to receive emails and asking if you want to be able to send them.

If you give it to "Following" The wizard starts to configure the shipment.

Please note that if you receive an error message here, it's usually because you haven't entered the information correctly. If the error persists, it's best to contact your hosting provider's technical support.

Send emails with your corporate domain from Gmail

From here we begin to configure the ability to send emails from the Gmail account.

We need to treat it as an alias, so we should leave the box checked and click on it. “Next step”.

The setup is simpler since we only need to enter:

SMTP server

UsernameRemember that it is the complete email address.

Password.

Port: 465.

– And select the option to Secure connection using SSL.

If all the data entered is correct, we move on to the next screen of the wizard where it asks us to enter a code that has been sent to the corporate email account that we want to configure in Gmail.

Once the verification code has been entered, we will be able to send emails from the Gmail account and we will have successfully completed the process.
